‏ Electronic Gate policy

The electronic portal of Jeddah University is considered the official and sole website of the university and serves as its media interface. It is managed by the electronic portal team, which is responsible for overseeing its content. Based on the need for accountability and the necessity of working on established principles and policies aligned with the highest standards in accordance with the practices at Jeddah University, this document has been prepared to serve as the primary reference for managing the content of the university's electronic portal. This aims to ensure the application of cybersecurity requirements related to the policies and procedures of Jeddah University.

Objectives
  • Definition of the staff of Jeddah University regarding the policy of the university's electronic portal, which must be applied during the management of the content of the electronic portal.
  • Establishing guidelines for handling the content of the university's electronic portal.
  • Governance of the process of using and updating the content of the university's electronic portal.
  • Protection of the main content of the electronic portal and its associated subdomains.
Scope of Work and Applicability
These policies apply to all beneficiaries of the portal's services, including academic and administrative staff, university students, visitors, and managers of the sub-portals for the various administrative structures within the university. This includes, but is not limited to, deanships, colleges, centers, institutes, and departments, as well as those responsible for the main portal and its content.

SLA Agreement

The Electronic Services Level Agreement aims to clarify and specify the quality of services provided through various electronic systems and services, as well as the rights and duties of both the University of Jeddah and the beneficiaries. This agreement serves as a clear and explicit contract between the university and everyone who interacts with it, whether they are aware of the agreement or not. Therefore, the mere receipt of any service covered by this agreement constitutes implicit and explicit consent from the recipients of those services to all that is stated in this agreement, without prejudice to any other agreements that may be involved in the provision of that service.

The University of Jeddah is committed to maintaining the privacy and confidentiality of information when dealing with requests from service beneficiaries, and the university makes every effort to provide high-quality services to all beneficiaries.

Below are the obligations of both the Digital Transformation and Information Technology Department (service provider) and the beneficiaries of the services:

Users' Rights and Duties:

  • The Digital Transformation and Information Technology Department at the University of Jeddah is committed to providing electronic services available throughout the week, including holidays and vacations.

  • The department is committed to handling beneficiary information with complete confidentiality and protecting personal data from unauthorized access and unlawful use.

  • Requests from beneficiaries are handled fairly and confidentially, with necessary responses provided through the system and via text messages or email as needed, depending on the type of service.

  • Beneficiaries should be able to access information related to the services provided, including terms, conditions, and required procedures.

  • Beneficiaries must provide accurate and correct information when using electronic services, such as personal information, payment details, and any other relevant information.

  • Beneficiaries must adhere to the terms and conditions set by the service provider and act in accordance with the provided guidelines and instructions.

  • Beneficiaries must use electronic services in a legal and ethical manner, refraining from any illegal, abusive, or harmful activities towards others.

  • Beneficiaries are fully responsible for protecting their personal account information and related passwords, and must not share them with others or use them in insecure ways.

Rights and Duties of the University of Jeddah:

  • The Digital Transformation and Information Technology Department at the University of Jeddah is committed to responding to valid messages and requests and communicating with their owners within a specified timeframe, which may vary depending on the situation.

  • The department is committed to accountability for any shortcomings in communication regarding messages and requests received from beneficiaries.

  • The Digital Transformation and Information Technology Department at the University of Jeddah maintains principles of fairness and privacy when handling beneficiaries' requests.

  • The department is committed to resolving login issues or problems related to access to any service.

  • The department has the right to exclude non-compliant requests or those containing incorrect information.

  • The Digital Transformation and Information Technology Department has the right to temporarily disable some services or systems for updates, maintenance, or other reasons.

  • The applicant bears full responsibility for their choices and the regulations governing the services.

Assistance and Support:

The University of Jeddah is keen to provide support and assistance to beneficiaries through various communication channels. Therefore, readable content, multimedia, detailed information for each service, and help links such as the "Hayyak" system for inquiries and complaints, the technical support request platform, and FAQs have been provided.

Compliance with the Policy
Based on the operational guidelines at Jeddah University, and in pursuit of achieving the objectives of regulating dealings with electronic sites, both local and global, it is essential to review the document and terms of the policies related to the electronic portal. All users must comply with its provisions and engage through the channels that allow beneficiaries to actively participate and convey their opinions and suggestions to all responsible for the portal. Any violation of these policies may subject the offender to disciplinary action in accordance with the procedures followed at Jeddah University and applicable laws in the Kingdom of Saudi Arabia.
